Executive Assistant - Operations

Join FCDO Services and you’ll find a team who work together to protect people all over the world. We do that by providing a range of services – logistics to construction; IT to engineering – for UK government customers, and friendly foreign governments too. It means building embassies; providing governments with secure Wi-Fi; delivering diplomatic goods across continents; translating for leaders – and much more besides. On any given day, we’re working on all kinds of vital projects for government bodies worldwide.

Naturally, that means life is fast-paced for our Directors within Operations. They’re working with stakeholders and colleagues on a global scale, to ensure that our services run smoothly and are delivered to the highest standards. As our new Executive Assistant, you’ll work with these Directors to provide them with best-practice administrative support, helping them meet new goals for our organisation every day.

Bring experience and shape your office

Ultimately, this role needs someone with extensive experience as an Executive Assistant: you’ll inspire the team with your capability, setting out best practice, shaping what your role should be, and managing a number of executives’ diaries with confidence. Having already worked in a role like this within an international company, you’ll be comfortable with our global scale too, managing priorities and scheduling across continents and time zones. Whatever your background, nothing will faze you: you’ll provide your executives with calm, organised support, no matter the challenge, and they’ll look to you to shape what excellence looks like in your new role.

Communicate clearly at the very highest levels

As the Executive Assistant to our Directors, you’ll be in an incredibly visible position, working as a direct point of contact for everyone from the most senior colleagues to external stakeholders across government. You’ll manage the Directors’ emails and respond directly where appropriate. You’ll liaise with colleagues to make sure their reports and briefings are submitted to the Directors on time and you’ll manage conflicting and simultaneous demands with ease. With that in mind, you’ve got to be a born communicator. So whether it’s conversation or correspondence, you’re clear, accurate and persuasive in everything you do.

Provide accuracy that enables leadership

You’ve got an eye for detail, a head for financial data, and you’re brilliant at taking information on board. That’s all vital, since you’ll also act as the secretary and minute-taker for a number of Senior Management Boards. You’ll listen to complex data and conversations, treat it all with confidentiality, and create accurate briefings, minutes and reports from what you learn. Plus, you’ll confidently manage any ad-hoc projects too, supporting in every way you can. It’s all part of how you’ll help us to uphold our customer promise: to be reliable, responsive and build relationships.
